Admissions Graduate Assistant*

North Carolina Wesleyan University is seeking a highly motivated individual to serve as an Admissions Graduate Assistant.

ELIGIBILITY:

This is a graduate assistant position that is open only to students who have completed their baccalaureate degree and are enrolled full-time in a masters level degree program at North Carolina Wesleyan.  Interested applicants must apply to an NCWU graduate program and be pre-registered for full-time enrollment before they will be formally considered for this position.  Full-time enrollment consists of registration for at least six credits each academic semester and must begin by no later than the Fall 2024 term.  Continuous enrollment in good academic standing is required to maintain this position.

Specific work schedules will be negotiated with the supervisor, but they will not include more than 29 hours of employment (on average) each week.

POSITIONS SUMMARY:

The Graduate Assistant serves as administrative support to the Admissions Processing Coordinator.  This position assists with the processing of all documents related to student applications/acceptance as assigned by the Admissions Processing Coordinator.

 

PRINCIPAL FUNCTIONAL RESPONSIBILITIES:

  • Assist with the processing of all student applications
  • Prepare, maintain, and scan/store (digitally or physically) admissions records and provide for the security, confidentiality, and proper destruction of these records
  • Obtain student transcripts required for applicant acceptance and enter data into Salesforce
  • Assist with the printing and distribution of accepted and deposited letters for each student
  • Communicate with candidates by telephone or email to notify students of missing documents
  • Assist with the front desk duties as requested
  • Adhere to strict confidentiality policies relating to admissions records
  • Demonstrate integrity and uphold the values and the mission of the University.
  • Perform other related duties as assigned.

QUALIFICATIONS:

  • Bachelor’s degree
  • Acceptance to a graduate degree program and active enrollment in graduate classes with NCWU. Enrollment must be continuous during your tenure in this position, and you must maintain good academic standing in your academic program. If you fail to maintain enrollment, employment in this position would be terminated.

Job Description Summary:

The Office of Advancement at North Carolina Wesleyan University is searching for a Graduate Assistant (GA). The Office of Advancement is responsible for oversight and management of university fundraising initiatives, gift and pledge processing, donor database, relations and stewardship, alumni database, relations and engagement, community outreach, prospect research, and other operations relating to university advancement, including the NCWU Foundation.

An Office of Advancement Graduate Assistant will perform fundraising research, reporting, analysis, communications, and stewardship among other office functions.  This GA position will report to the Sr. Executive of Philanthropic Engagement and will be required to support projects (on and off campus) such as various Fall and Spring fundraising events, athletic events, scholarships luncheons, donor banquets, alumni gatherings, and other events, on an as-needed basis.

They will be expected to provide a strong dedication to job performance, excellent customer service, respectful and collegial collaboration, respectful and constructive feedback, and proactive support in reaching the Advancement Office’s goals.

Job Duties:

  • Conduct research to verify data maintained in the alumni/donor database and assist with data entry updates
  • Analyze data for targeted marketing as needed
  • Assist with the planning and implementation of fundraising events, campaigns and other activities
  • Conduct prospect research (individuals, corporations, and foundations) as needed
  • Assist with Donor stewardship initiatives
  • Assist with Alumni engagement and participation initiatives
  • Engage in website and social media maintenance, editing, and updates pertaining to Advancement initiatives and/or alumni-centric matters
  • Perform any additional tasks as required

PRINCIPAL RESPONSIBILITIES

This position is responsible for assisting with all phases of the Division III Baseball program at North Carolina Wesleyan University. Specific responsibilities include, but are not limited to: coaching and student-athlete skill development, recruiting, administrative tasks related to the operation of the program, and providing a positive collegiate experience for the student-athletes.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist the Head Coach with field, park and building maintenance.
  • Assist the Head Coach with film breakdown and analysis.
  • Assists in the supervision of team manager and work study students.
  • Assists in organizing and conducting practice sessions.
  • Assist the Head Coach and players during games.
  • Lead in the recruitment of underclass student-athletes.
  • As needed finalizes travel arrangements and details with the Assistant Athletic Director.
  • Assists in preparing equipment requests as needed.
  • Assists in scheduling of scrimmages and contests (conference and non-conference).
  • Assists in ensuring appropriate conduct of student-athletes on trips.
  • Assist the head coach with academic records and monitoring eligibility.
  • Assist in supervision of study tables for academic retention.

  • Assists in coordinating team building activities and fundraising events.

PRINCIPAL FUNCTIONAL RESPONSIBILITIES

The Information Systems Graduate Assistant is to provide technology support to faculty, staff and students.  Must follow standard help desk support processes and procedures to support the University community. Respond to all requests in a thorough, efficient manner and provide excellent customer service. Contribute to the documentation of internal and end-user processes.  Assist other members of the Information Systems team as needed and participate in tasks/projects as assigned by the Director of Information Systems. Continuously develop technical, organizational, interpersonal, and communication skills.

  • Provide technology assistance for faculty, staff and students via telephone, chat and in person support.

  • Installation of hardware, software, network connectivity and computer peripherals.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

Responsibilities include the ability to work flexible hours as needed to ensure the operation of college Information Technology systems.  While performing the duties of Information Systems Graduate Assistant, the employee is regularly required to sit, stand, walk, listen, answer telephones, operate standard office equipment, bend, kneel, crouch, climb ladders, and have the ability to lift 60 lbs as needed to complete tasks. While performing the duties of this position, is regularly required to communicate—both orally and in writing—with faculty, staff, students and the administration.  The employee’s daily work will frequently include interpretation of complex data, information and documents; analysis, and problem-solving.  This highly-detailed work takes place in a multi-tasking environment with evolving deadlines and occasional interruptions.  The successful candidate will be able to demonstrate an ability to rise to the task while still maintaining a focus on customer service in interactions with faculty, staff, students, and administration.

  • Communicating with Faculty on course adoptions
  • Postal operations including sorting of mail, deliver/pick up of mail across campus, receiving/distributing packages from postal carriers, and running/posting outgoing mail
  • Social media operations and marketing practices to benefit store

PRINCIPAL FUNCTIONAL RESPONSIBILITIES

Assists in multiple functions in the Student Success Center and the Office of International Student Services discretion including:

  • Attends team meetings, provides feedback on planned activities, and participates in strategic planning for both offices.
  • Staffs the front desk, provides administrative support to the staff in both offices, manages data entry, delivers materials on campus, and helps students connect with requested services.
  • Coordinate and help provide international student transportation (local). This work may include weekly shuttles and other specific transportation as needed.
  • Assists with publicizing events hosted by the SSC and/or ISS, setting up WesQuest credit for events, and managing the logistics for events including set up and clean up.
  • Assists the SSC and ISS in the planning and operations of First-Year Orientation and World Wide Welcome.
  • Checks attendance reports weekly and provides needed data to appropriate offices of the University.
  • Assists with recruiting, scheduling, and ensuring payment to tutors.
  • Assists with scheduling alternative testing arrangements and proctors tests for SSC staff.
  • Assist with planning and managing ISS social media content.
  • Co-advise International Bishops Association (IBA).
  • Perform other duties as assigned.

QUALIFICATIONS

  • Bachelor’s degree.
  • Acceptance to a graduate degree program and active enrollment in graduate classes with NCWU. Enrollment must be continuous during your tenure in this position, and you must maintain good academic standing in your academic program. If you fail to maintain enrollment, employment in this position would be terminated.
  • Must be authorized to work in the United States.

Skills/Attributes Needed

  • Good computer skills and experience with Microsoft and Jenzabar EX.
  • Excellent public relations skills, problem-solving, telephone, and counseling skills.
  • Excellent communication skills (verbal and written).
  • Attention to detail and organization.
  • Ability to work as a team as well as independently.
  • Adaptable to changing circumstances.
  • High degree of personal and professional ethics including a commitment to maintaining confidentiality of students.
  • Bilingual or significant Spanish language proficiency would be a significant plus

Graduate Intern

12-Month Position, unpaid; benefits detailed below

This is a graduate intern position that is open only to students who have completed their baccalaureate degree.  Interested applicants must apply to an NCWU graduate program and be pre-registered for full-time enrollment before they will be formally considered for this position.  Full-time enrollment consists of registration for at least six credits each academic semester and must begin by no later than the Summer 2024 term.  Continuous enrollment in good academic standing is required to maintain this position.

Specific work schedules will be negotiated with the supervisor, but they will not include more than 15 hours of employment (on average) each week.
